A template for decisions, not promised results

A backlink strategy template is a reusable record of what you intend to do, why it should help a reader, who owns the work and how you will decide whether to continue. It turns an approach into a reviewable campaign brief. It is not a prospect database, a purchase order or a forecast of ranking improvements.

Use the planner above for a small campaign, or download the blank workbook for a team handoff. Both provide scope, dates and budget fields. The filled workbook and printable example show how the pieces connect without presenting invented numbers as evidence. Choose the approach first; the backlink strategy guide helps with that earlier decision. This page supplies the document you can take into a planning meeting.

Define a useful destination and a clear owner

Start with one owned destination and a reader task. “Make this maintenance instruction easier to use and find” is more actionable than “get more authority.” Record what needs to be ready before another editor could sensibly reference the page: accurate instructions, useful supporting material and an accessible presentation. A URL in a form does not establish that the page is ready or that you control it.

Describe the audience and the context in which a reference would help. Add selection criteria and exclusions before researching publishers. A relevant section, an identifiable editor and a plausible reader need give a reviewer something to check; a score alone cannot explain the fit. Assign a responsible owner for the campaign and each work item. Responsibility is a commitment to act and review, not permission from a publisher.

Build a budget without hiding unknown costs

Enter one currency, a spending limit and a cost estimate for each work item. Record how you obtained each estimate: a dated quote, an internal allocation or an explicitly provisional allowance. An empty amount means unknown. Enter zero only when you have deliberately recorded that no cost is expected for that item.

The planner totals estimated costs, committed costs and actual spend separately. These are different views of the same work, so adding the three totals would usually double-count money. “Known subtotal” includes only entered amounts; the missing-item count makes incomplete estimates visible. Remaining planned budget is shown only when every planned cost and the limit are recorded. A negative remainder calls for a scope or budget decision.

Estimated hours describe effort and are not automatically priced or added to money. If your cost estimate already includes labor, do not add its value again. Changing the currency label does not convert amounts. This is a project budget, not the platform’s credit balance or a live publisher quote; compare real terms using the backlink cost guide.

Set dates that someone can act on

Choose a planned start, review and end. Put the review within that period, and give each work item a due date within it. Use calendar dates that exist, rather than a relative promise such as “next week” that becomes unclear when the sheet is shared. The online planner flags reversed dates and tasks outside the entered period.

Choose the review point for a decision: is the destination ready, are proposed pages relevant, are estimates still credible, and is there enough evidence to continue? A review date is not a publication guarantee, a renewal date or evidence that a review happened. The workbook’s Review tab starts empty in both the blank and filled files. Add the actual observation date, evidence and decision only after the work is checked.

Read the worked example before replacing it

The bicycle brake checklist is an invented pilot with a fictional start of 1 April 2030, midpoint review on 15 April and end on 30 April. Its four work items allocate USD 80 to destination editing, USD 160 to illustrations, USD 40 to suitability research and USD 40 to reviewing delivery evidence. The planned subtotal is USD 320 against a USD 400 limit, leaving USD 80 unallocated. The separate effort estimate is 15 hours.

Those allowances are arbitrary teaching inputs, not market benchmarks or a package offer. The example has no actual commitments or spend recorded. It assumes no paid placement and no published backlink. If a real sponsorship is later proposed, define its terms and review it separately. Google recommends sponsored for paid links and also accepts nofollow. Replace the fictional project, dates and estimates before using the document operationally.

Keep delivery evidence separate from impact

Separate planned activity, delivered work and measured effects. A reply is not a published reference. A supplier status is not a dated inspection of the live page. When checking delivery, retain the actual page, destination, context, link attributes and observation date as relevant to the agreement. If a page cannot be checked, record that limit rather than treating it as successful or failed without evidence.

At the review, compare results with a baseline from the same measurement scope and period. Referral visits, conversions and search visibility answer different questions. A change after a campaign does not by itself establish that the campaign caused it. Google Analytics documents campaign URL tagging for traffic measurement; configure measurement on your own site before relying on it. This planner does not import analytics or fill any result automatically. The backlink report template is the next document for observed evidence.

Download, adapt and review the plan

The full TXT download contains the brief, budget summary and work items. The CSV download is a work register, not the entire strategic brief. Use the XLSX workbook when you want the Brief, Budget and Review sheets together; its budget formulas cover the twelve provided work rows. Keep real observations in Review and keep estimate assumptions beside the costs they explain.

The online draft stays in the current tab and disappears on reload. Loading the example is disabled once any work has been entered, so it cannot replace your draft unexpectedly. Editing an example keeps its fictional label until you clear it. Save a download before leaving. No email, order, publisher check or account record is created. A successful input check confirms the format and arithmetic boundaries, not approval of the campaign or the completeness of your evidence.
